1 Source Business Solutions, a leading provider of outsourced HR services, is a fast-growing PEO (HR) company seeking an experienced Receptionist/Administrative Assistant who has exceptional customer service skills. Job Description



Position Overview:
The Receptionist/Administrative Assistant will be the first point of contact for clients and visitors, manage incoming communications, and provide administrative support across multiple departments. The ideal candidate will thrive in a fast-paced environment, enjoy working with a variety of people, and be able to manage multiple priorities effectively.

Responsibilities Include:

  • Reception: Answer and direct all incoming calls to appropriate staff; assist clients and visitors as needed.
  • Mail Management: Handle all incoming and outgoing mail, including preparing FedEx and other package shipments.
  • Office Supplies: Monitor and maintain office supply inventory; place orders as needed.
  • Filing: Assist various departments with filing and document organization.
  • Document Preparation: Create and format brochures, reports, and other materials.
  • Department Support: Collaborate with multiple departments to assist with meetings, reports, and client requests.
  • Meeting Support: Coordinate lunches and other arrangements for meetings and company events.

Qualifications

  • Prior experience in a fast-paced office environment preferred.
  • Experience with multi-line phone systems a plus, but not required.
  • Strong organizational and multitasking abilities.
  • Excellent verbal and written communication skills.
  • Professional demeanor and strong customer service orientation.
  • Proficiency with Microsoft Office (Word, Excel, Outlook).
  • Bilingual (Spanish) is a plus.
